Whilst we like to remain a flexible vehicle supplier, there will be times across the year where we will be unable to accept returns or offer collections of vehicles. This forms part of your contract with Cocoon Vehicles.
As with all returns, they will be subject to availability on a first-come, first-serve basis and we urge you to book the return requests in as soon as you are aware your vehicle needs to come back.

Bank Holiday Closing Dates
August Bank Holiday Hours 2022
Our offices will be closed for an extended period over the August Bank Holiday and will therefore close at 4pm on Tuesday 23rd August 2022 and will not re-open until 9am on Thursday 1st September 2021.
Our offices will be closed on Thursday 20th October 2022 and Friday 21st October 2022, we will re-open at 9am on Monday 24th October 2022. Subject to Change.

All off-hire requests must be received no later than 10 working days before any bank holiday or break period with slots available on a first-come, first-serve basis for both collections and return to de-fleet requests. All vehicles will be at the point of return unless otherwise specified in the contract or based on the off-hire disclaimer below.
If any off-hire requests are received after these dates, the vehicles will remain on-hire until after the bank holiday and collected within our availability status.

Maintenance and Out of Hours
For those vehicles that include maintenance, should a service light come on your vehicle on the dates that we are closed, we will not be able to authorise any work for services.
Please ensure that your vehicle is booked in after the bank holiday so that the dealer or service centre can call us and authorise the work.
If your vehicle has already been booked in for a service over this period, please get the dealership or service centre to contact us prior to us closing to authorise the work.
Contract Black-Out Periods
Blackout periods are where it is not possible to have your vehicle collected, these form part of your contract. It effectively applies to our flexible car lease fleet, as we try not to offer fixed contracts if they fall within these blackout periods.
Blackout periods are dates that fall into the criteria as set out above, these are the dates where the office is closed and we cannot process returns. All return forms will be processed on the next working day after these dates working with the 5 working days notice.
We always try and give as much notice as possible on these dates and it is a really good idea to bookmark this page for future reference. We will try and include these dates on our email footer messages, on our blog and in our newsletters.

We need a break, so our annual tradition is to close the office for an additional week over Christmas and New Year; our quietest period.
Christmas & New Year Opening Hours
The office will close at 12pm on 23rd December 2022 and will remain closed until 9am on Monday 9th January 2023.
Emails and phone calls will not be responded to until Monday 9th January 2023 when the office re-opens.
Please Note. That any returns/collections/off-hires will not be possible during the close of business between 12pm on 23rd December 2022 and reopening on Monday 9th January 2023. The request will be dealt with once we have reopened on Monday 9th January 2023.
Should you wish to arrange a collection/return, the last time we can accept the Online Form Submission prior to Christmas is Monday 12th December 2022 to ensure we can collect/arrange the return of your vehicle prior to the Christmas closures.

Maintenance and Out of Hours Procedures
Should the service light come on your vehicle on the dates we are closed, please DO NOT book your car/van in for a service during this period as we will not be able to authorise any of the service work carried out.
Please ensure that this is booked in as soon as possible after Monday 9th January 2023, ensuring that you contact us to receive authorisation.
If your vehicle is already booked in for service work on these dates, please ask the service centre or dealership to contact us prior to our closing date to ensure authorisation for the work to be carried out. You may be liable for the cost of the service, should the instructions not be followed.

As is a tradition at Cocoon Vehicles Ltd, due to our staff having families, we restrict their holiday time during the year. Therefore, where possible we grant additional leave at our quietest times of the year, which includes Christmas.
Therefore, in 2023, we will be closing the Cocoon Vehicles office at 1pm on Friday 22nd December 2023 and will not re-open until 9am on Monday 8th January 2024.
